This Privacy Notice explains how the AEROFUSE consortium processes personal data when you use the AEROFUSE website, subscribe to communications, take part in the Community of Practice, or register for and participate in AEROFUSE training activities, Aerospace Learning Hubs, events, surveys or workshops.

It is provided in accordance with Article 13 of Regulation (EU) 2016/679, the General Data Protection Regulation (GDPR), and applicable national data protection laws.

 

1. Controller and privacy contact

For a particular training activity or Aerospace Learning Hub, the organising consortium partner may act as controller for the registration and delivery of that activity. Where applicable, the relevant registration form or activity notice will identify that partner and its contact details.

 

2. Personal data processed

Depending on how you interact with AEROFUSE, we may process the following personal data:

a) name and surname;
b) email address;
c) organisation, professional role, academic background, current occupation or job title;
d) nationality and, where required for an activity, date of birth;
e) information relating to registration, attendance, participation, completion of activities and, where applicable, certificates or other participation records;
f) information you voluntarily provide through forms, surveys, the Community of Practice or other communications;
g) communications exchanged with you in connection with the project;
h) photographs, videos, screenshots or other audio-visual materials where image or sound capture takes place during online or in-person activities; and
i) limited technical information collected through website cookies or similar technologies, where used.

We do not intend to collect special categories of personal data through the website or registration forms. Any additional information used for project monitoring indicators, including information related to gender, disability, health-related issues or barriers faced by participants, will be collected separately and anonymously where possible and will not be intended to identify you.

 

3. Purposes and legal bases

Your personal data may be processed for the following purposes:

a) Website, newsletter and Community of Practice communications

To manage newsletter subscriptions; provide updates, information and communications relating to the Community of Practice; and facilitate collaboration, knowledge exchange and dissemination activities within the scope of the project. Where you subscribe to the newsletter or otherwise opt in to optional communications, the legal basis is your consent under Article 6(1)(a) GDPR. You may withdraw consent at any time.

b) Registration and management of participation

To register you for training activities, Aerospace Learning Hubs, events, surveys or workshops; manage attendance; communicate practical information; provide access to the relevant activity or platform; and ensure the proper organisation and execution of the AEROFUSE programme. The legal basis is the controller’s legitimate interest in organising, managing and delivering the programme, pursuant to Article 6(1)(f) GDPR.

c) Project management, reporting, audit and accountability

To document the implementation of AEROFUSE, demonstrate participation, fulfil dissemination and communication obligations, comply with EU-funded project management and reporting requirements, and respond to audits, checks or requests from competent bodies. The legal basis is the controller’s legitimate interest under Article 6(1)(f) GDPR and, where applicable, compliance with a legal obligation under Article 6(1)(c) GDPR.

d) Website improvement and analytics

To operate, secure and improve the AEROFUSE website and user experience, including analysing website traffic where cookies or similar technologies are used. The legal basis is our legitimate interest under Article 6(1)(f) GDPR for strictly necessary processing, and consent under Article 6(1)(a) GDPR where required for non-essential cookies.

e) Dissemination, including photographs and videos

Photographs, videos, screenshots or other audio-visual materials may be captured during online or in-person activities to document and disseminate the AEROFUSE project, its activities and results. The legal basis is the controller’s legitimate interest in documenting, communicating and disseminating the project and its publicly funded activities under Article 6(1)(f) GDPR. These materials may be published on institutional websites, the project website, newsletters, reports, social media pages and other official communication channels of the AEROFUSE consortium.

The consortium will seek to ensure that capture and use is proportionate, limited to the purposes described above and respectful of participants’ rights, freedoms and reasonable expectations. Where feasible, you may inform the organising team if you do not wish to appear in identifiable photographs or videos. Separate consent may be requested for interviews, testimonials, close-up images, individual promotional materials or other materials focused specifically on an identifiable participant.

 

4. Community of Practice

The AEROFUSE Community of Practice is developed and maintained by members of the AEROFUSE consortium. Participation is voluntary. Personal data shared in this context is processed solely to facilitate collaboration, knowledge exchange, communications and dissemination activities within the scope of the project.

 

5. Recipients of personal data

Your personal data may be shared with:

a) AEROFUSE consortium partners, where access is necessary to organise, manage, execute, monitor, communicate about or report on the programme and its activities;
b) service providers supporting the project, including providers of IT, registration, email, communication, learning management, hosting, analytics or collaboration tools;
c) the European Commission, the European Education and Culture Executive Agency, auditors or other competent bodies, where necessary for project reporting, audit, monitoring or legal compliance; and
d) social media platforms, website providers, communication channels or the general public, where dissemination materials are published in accordance with this notice and, where required, on the basis of your consent.

Access by consortium partners and service providers is limited to what is necessary for the stated purposes. We do not sell your personal data or share it with third parties for their commercial purposes. External service providers acting on our behalf are contractually bound to comply with applicable data protection requirements.

 

6. International transfers

As a rule, personal data will be processed within the European Economic Area. Some IT providers, online platforms, social media platforms or website services may involve processing of, or access to, personal data from countries outside the European Economic Area. Where such transfers occur under the controller’s responsibility, they will be carried out in accordance with Chapter V GDPR, including, where applicable, on the basis of an adequacy decision, standard contractual clauses or other appropriate safeguards.

 

7. Retention periods

Personal data is retained only for as long as necessary to fulfil the purposes described in this notice or as required by applicable EU funding, reporting, audit, limitation or statutory retention obligations. Registration, participation and activity-management data will be retained for the period necessary to organise, deliver and close the relevant activity. Dissemination materials may be retained for as long as necessary for project dissemination, institutional communication, accountability and archival purposes, subject to your rights and applicable law. Anonymous information that cannot reasonably be linked to an identifiable person is not retained as personal data.

 

8. Whether providing data is mandatory

The personal data requested in a registration form may be necessary for registration and participation in the relevant activity. If you do not provide required data, it may not be possible to register you, provide access to an activity, communicate with you or issue participation records. Participation in optional newsletters, the Community of Practice, photographs, videos, testimonials or promotional materials based on consent is voluntary. Refusing or withdrawing consent will not affect your ability to participate in an activity.

 

9. Your rights

Subject to the conditions set out in the GDPR, you have the right to:

a) access your personal data and obtain related information;
b) rectify inaccurate or incomplete data;
c) request erasure of your personal data where the legal requirements are met;
d) request restriction of processing in certain circumstances;
e) object, on grounds relating to your particular situation, to processing based on legitimate interests, including the processing of photographs, videos or other audio-visual materials;
f) receive the data you have provided in a structured, commonly used and machine-readable format, and transmit those data to another controller where the legal requirements for data portability are met;
g) withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal; and
h) lodge a complaint with a competent supervisory authority.

10. Data security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, alteration, disclosure or misuse. These measures are reviewed in light of the nature of the processing and applicable legal requirements.

 

11. Cookies

The AEROFUSE website may use cookies or similar technologies to improve user experience, maintain essential website functions and analyse website traffic. You can manage cookie preferences through your browser settings and, where provided, the website’s cookie controls. Disabling certain cookies may affect website functionality.

 

12. Automated decision-making

Your personal data will not be used for automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you.

 

13. Updates to this Privacy Notice

This Privacy Notice may be updated periodically to reflect changes in our processing practices, project activities or legal requirements. Any changes will be published on the AEROFUSE website with an updated revision date.
